How to Set up a Credentials File

Over the past decade, significant changes have occurred in the area of teacher recruitment and hiring.  Many districts throughout Iowa and the nation are progressing toward on-line recruiting, whether through a service or their own web sites.   Self-managed files are more responsive and more practical in the era of portfolios and electronic applications and communications.

Simpson College gives you the option to create an open or closed file.  The CCS office will continue to house your original file; with an open file you may create copies to manage yourself.  With both open and closed files the CCS office will send them directly at your request.

Open Files:

  • Candidates decide what, where, and who will receive their information and eliminate the middle step of contacting the CCS office.
  • Candidates are able to submit all of the requested materials in one envelope. The “one envelope” concept is seen as highly desirable in speeding up the candidate selection process.
  • Additionally, there is a cost savings to candidates. Fees for processing credential files are eliminated.

Closed Files: 

Some administrators look at the closed file as a more objective assessment of the candidate.

Steps to open a file:

1.  Registration Card

A. Complete the card.

B. Return it to Counseling and Career Services.

2.  Reference Forms

Requesting a Letter of Recommendation:

A. People you may want to use as references:   advisors, faculty members, past or  present employers.

B. People you may not want to use as references: anyone with whom you are  affiliated by religion, politics or family.

C. Ask each writer to return the recommendation either to you (open file) or to Counseling  & Career Services · 701 N.  C St. · Indianola, IA 50125 (closed file).  With an open file, make copies of the letter and send the original to Counseling & Career Services.

3. Credential Requests

A. The cost of sending credentials is $15.00 for 5 sets and $25.00 for 10 sets or $3.50 each to be mailed at your request.  With open files CCS will provide you with 3 copies to start.

B. After all forms are completed and payment is received, you may e-mail your request to send credentials to careers@simpson.edu.

C. Please allow 2-3 working days for your credentials to be mailed.

D. You may declare a reference inactive by sending us a letter; at that point, we will no longer send that reference.
